1. SAEO Testing Accommodations apply to all timed quizzes, tests, and exams.
2. SAEO office hours are Monday through Friday from 8:30 a.m. to 5 p.m. TAC closes at 5 p.m. and all tests will be collected at that time.
3. Students should discuss the parameters of each quiz/test/exam with their professors prior to scheduling with SAEO.
4. All quizzes/tests/exams should be scheduled at least 1 week in advance (2 weeks for final exams) in order to ensure space is available and there is time to contact your professors for testing materials and instructions. 
   • Please see below for instructions on scheduling your in-person exams with Accommodate.
   • SAEO may not be able to proctor quizzes/tests/exams that have not been scheduled in advance.
5. Virtual- If your class is being proctored live virtually please email us at saeotestdmin@vcu.edu. 
6. You should always be testing the same day and time as your class. However, if you have a scheduling conflict (i.e. back-to-back classes, or an evening class that falls outside of our office hours), please contact your professor for permission to test on an alternate date/time.
7. Once your appointment request has been processed, you will receive a confirmation email detailing your appointment date, time, and location.
8. Your professor will then be contacted for testing materials and instructions and SAEO will coordinate the return of those materials as well.

If you need to cancel or reschedule your appointment, please provide at least 24-hour notice by contacting SAEO by email (saeotestadmin@vcu.edu) or phone (804-828-2253).

6. Students should always be testing on the same day and time as their class. However, if there is a scheduling conflict (i.e. back-to-back classes, or an evening class that falls outside of our office hours), the student will need the professor’s permission to test on an alternate date/time.
7. Once your student has received confirmation of their appointment from SAEO, we will contact you with reminders to submit your testing materials and instructions through Accommodate.
   • After the initial appointment is made
   • 1 week prior to the appointment (if made in advance)
   • The day before the appointment
8. Testing materials and instructions may be submitted at any time during the semester for your student(s). And materials and instructions may be applied to multiple students. Please see the instructions on submitting quizzes/tests/exams for your student(s).
   • Please provide a copy of your quiz/test/exam at least 24 hours prior to the scheduled start time.
   • Quizzes/tests/exams will be returned by the method selected within 24 hours after completion (48 hours for final exams).

If your student has not provided you their accommodation letter or talked with you about their scheduled quiz/test/exam, please contact SAEO by email (saeotestadmin@vcu.edu) or phone (804-828-2253).

1. Log into the Student Accommodate Portal.
2. On the left hand side of the webpage click on “Testing Request”. 
3. Scroll down the page and click on “New Test Request”.
4. Click on the drop down menu for courses and select the class that you would like to schedule your test for.
5. Click on the “Check Availability” button.
6. Select the date range of your test. Unless you have already discussed an alternate date with your instructor, you should select the same date your class is taking this test.
7. Select a time for the  “Time Range” in which you are trying to schedule your test. Unless you have already discussed an alternate time with your instructor, you should select a time as close to the classes start time as possible.                                           
8. Check ‘yes’ or ‘no’ if this is a Final Exam.
9. If you do not need the full allotted time for this test, check ‘yes’ to override and reduce the length of time you will have to take your exam. Otherwise, click ‘no’.
10. Select the Building as “Testing Access Center”. 
11. Select the “Specific Accommodations” that you would like to be applied to your test. By clicking on the arrow on the right you will be given a drop down list of testing accommodations that you would like applied to your test.
12. Depending on your approved accommodations, you will see either “Reduced Distraction” or “Private Room”. Be sure to select the appropriate room to reserve a space.
13. Indicate the Day of the Week that your exam is being proctored.
14. If your professor has uploaded a test to the system you will find an "Exam" field please leave this section blank. 
15. Click on the “Check Availability” button.
16. On the right-hand side, a list of dates and times will appear. This is where you will officially select your test appointment.
17. Fill in the requested information to confirm the test request.
18. Click the blue-button at the bottom that says “Submit Request”.
19. You will then get an email that your test is now “pending”.
20. Once your test has been “approved” you will get a confirmation email with the date and time of your test.

1. Log into the Student Accommodate Portal.
2. On the left-hand side click on “Testing Request”.
3. On the right-hand side where your “Approved Booking Requests” are located find that test that you would like to cancel.  Click on the 3 vertical dots.                                                                             
4. Click “Cancel”.
5. A box will pop up saying, “Are you sure you want to delete this entry? This cannot be undone.” Click “OK”.

1. Log in to the Faculty Accommodate Portal
2. On the left-hand side click on “Courses and SAEO Test Form”.
   
3. Scroll down to the bottom of the page and click on the course that you want to upload your exam for.
   
4. Click on the “Submit Exams and/or Instructions” tab.
   
5. Click on the “Add New Exam” button.
   
6. Add a “Title” for your exam.
7. It is not necessary but you can add a description of your exam. Example: Chapters 8 and 9.
   
8. Check off if the Exam is a final. If the Exam is a final it will automatically generate the standard Final Exam Length (2 hours and 50 minutes).
9. Select how many minutes your class has to take the test. Example: If your class is 2 hours you would select 120 minutes. Or if you are only allowing your class to have 30 minutes for an exam choose 30 minutes.
10. Upload an attachment of your exam. Please note that if you have multiple attachments (such as an exam and a separate formula sheet) you will need to submit them one at a time. Please title your Exam 1 (1 of 4) this will allow testing staff to apply all of the different parts when they approve the exam for the student.
11. Select a Start date and End date of your exam. Please note that if you only want your students to test on the same day as the class the start and end date can be the same date.                                                                                                             
12. Select if the exam is online.
13. Choose a “Return Method” from the list.
14. Please add any resources the student is allowed to use in the exam if any. Please note when choosing a Calculator or Formula Sheet click on the arrow on the right hand side and you will see a drop down menu of calculators/formula sheet info to choose from.
15. In the additional information box, write down any information that the proctor should know in order to proctor per your requirements. 
16. Select if you want this test to apply to all of your SAEO students' records.
17. Click on the “Submit” button.
